Before adopting C2 Keep, controlled substance compliance at Power Pharmacy depended on a mix of spreadsheets, paper records, and handwritten documentation. Staff were required to manually document every controlled substance prescription that moved through the pharmacy. While the process worked, it required a significant amount of time and effort to maintain. “The process was very time-consuming and a little bit of a mess, but we didn’t know anything different then,” Jennifer explains.

Those challenges became particularly apparent whenever Board of Pharmacy Audits or DEA inspections occurred. With multiple technicians contributing to inventory counts and documentation, ensuring every record was accurate and up to date required constant attention and preparation. “Before C2 Keep, it was stressful knowing that when it was time for the state board to come around, we had to make sure that everything was up to date and the counts matched accordingly,” Jennifer recalls.

From a technician’s perspective, Jennifer praises C2 Keep for how easy it makes it for her and her team to identify and resolve discrepancies. “Anytime there’s a discrepancy, it’s so easy to go into C2 Keep and run a report to see all of the scripts that have been sent out.” “By comparing those reports with our pharmacy software, 99.9% of the time I can find the discrepancy.”

Jennifer also believes one of the biggest advantages of the platform is the additional layer of accountability it provides. “We are human, we do make mistakes, and C2 Keep makes it so much easier to find any minor mistake that was made.” “You’re not having just one set of eyes. You have C2 Keep and then you have our software double checking ourselves.”

For Jennifer and the team at Power Pharmacy, one of the biggest advantages of C2 Keep is the confidence that comes from knowing their records are always audit-ready. The pharmacy regularly audits its highest-volume Schedule II medications, using C2 Keep to verify inventory and maintain accurate documentation. This preparation proved especially valuable this year when their state inspector arrived while the team was actively reviewing reports in C2 Keep, giving them an opportunity to demonstrate exactly how they manage their controlled substance inventory and compliance processes. “We showed C2 Keep to her on our computers and how we use it to keep up with each CII that is in our inventory,” Jennifer recalls.

Jennifer says the inspector was particularly impressed by the level of detail available within the platform. From discrepancy investigations to documenting damaged medication, every activity could be traced and explained. As Jennifer put it, “She was very impressed, not just by us doing weekly audits, but because of how detailed our records are.”

That same transparency has also proven valuable when preparing for DEA reviews. Jennifer explains that the team can quickly investigate issues, document activity, and provide supporting records whenever needed. “We’re always able to run a report, find the discrepancy, find the mistake and fix it,” noting that this visibility has been “huge for our DEA audits and state board investigations.”

What began as a solution for controlled substance compliance has evolved into an essential part of how Power Pharmacy manages its inventory and prepares for Board of Pharmacy Audits. Jennifer says the team fully embraces C2 Keep, making it a routine part of their workflow and relying on it to maintain accurate records across the pharmacy. “It’s impacted me a lot because it has given me time freedom and it makes it so much easier to do an audit,” she explains. She also notes that after integrating their pharmacy management system, it has eliminated much of the manual work the team once faced. “Everything that we do in our software automatically goes into C2 Keep, so I’m not having to manually go in there and enter any of our scripts.”

As Power Pharmacy’s use of the platform has matured, the team’s confidence in their records and processes has grown as well. Jennifer says the visibility provided by C2 Keep helps everyone stay informed and accountable. “If the pharmacists ever have any questions, they can always look at C2 Keep themselves,” she said. “That’s been a big help as well.”
